Agent Workflows

Agent Workflows

A workflow defines how an agent turns a trigger into a recorded business outcome: the information it may use, the decisions it may take, the tools it may call and when it must ask a person.

Conceptual agent workflow linked by purple particles, with task stages and a human approval checkpoint.

Example sequence

Six stages in every workflow

An example driver status call becoming a dispatch update. Fictional data; each implementation agrees its own rules and approvals.

  1. Input

The driver reports that unloading is still in progress.

  2. Context

Retrieve the assigned delivery and its planned time.

  3. Decision

Compare the reported status with the agreed dispatch rules.

  4. Tool action

Prepare the permitted status update for the transport system.

  5. Human approval

Ask dispatch to review a delay or conflicting information.

  6. Recorded outcome

Record the confirmed status and the next follow-up task.

Example workflows

Each example shows the inputs, systems and review points for one process. Your implementation is scoped around your own systems and rules.

Voice Agents

Driver Status Calling

A voice agent calls drivers for a status update or arrival estimate, records the answer as structured data and prepares the dispatch update, so planners spend less time on the phone.

Chat Agents

Dental Reception Automation

Chat and voice agents answer routine patient questions, prepare booking requests and follow up on unfinished journeys, while reception keeps control of the diary and clinical questions.

Document Intelligence

Proof of Delivery Processor

Turn driver photos of CMRs and delivery notes into checked delivery records. The workflow extracts the key fields, matches them to the TMS and sends exceptions to your team.

Autonomous Agents

Manufacturer Product Reasoning

Answer technical product questions with catalogue evidence. The agent compares specifications, checks compatibility and prepares a sourced recommendation for a specialist to approve.

Document Intelligence

Construction Quote Automation

Extract requirements from tender documents and drawings lists, match them to your products and prepare a structured quotation draft that your estimators review and send.

Chat Agents

Sales and Service Operations

Capture leads, answer first questions, follow up on unfinished conversations and prepare proposals, so your team spends its time on the conversations that need a person.

What every workflow defines

These decisions are written down and agreed before an agent goes live.

  • The trigger, the goal and how completion is recognised.
  • Approved sources and the systems the agent may read or update.
  • Which actions need a person, and who that person is.
  • What is recorded, where, and how exceptions are reported.

Common questions

Usually, if the system offers suitable API access or another agreed route. We confirm the available APIs, permissions and data during scoping, then implement and test each action against the agreed systems.

It depends on the systems, data and approvals involved. After a discovery call we propose a scope with milestones, starting with one workflow that can be measured before it is extended.

We choose the model and provider for each task during scoping, based on the language, accuracy, latency and data-handling requirements. The workflow is not tied to one provider, so a step can be changed later if the agreed requirements change.

Discovery call

Start with the work that slows you down.

Bring us a process, a recurring enquiry or a pile of documents. We will explore where agents fit and what a useful implementation needs.
