PROJECT ASSISTANT FOR TECHNOLOGISTS AND ESTIMATORS

Large manufacturer for the plastics industry

Past projects found in minutes, not hours, as if you asked your most experienced engineer

A large manufacturer of extruder screws, barrels and systems for the plastics industry holds 80 GB of project data in its ERP: more than ten thousand past projects, organised by project number and client rather than by what was made. Technologists preparing an offer spent hours browsing folders or asking colleagues who remembered a similar job. Multibot built an internal project assistant that finds a matching past project in under a minute, in natural language and by technical parameters, explains why each result matches, shows how similar jobs were made and what they cost, and helps the team price new, similar work. The team monitors usage, answer quality and data freshness in an administration portal.

  • Past projects are found by what was made. Technologists search by component, diameter, length-to-diameter ratio, kind of work and treatments, including requests such as "like this job, but without nitriding".
  • Every result explains itself. Each match shows evidence from its source fields, operations or files, and an AI check rates how closely it fits.
  • Similar jobs inform the price. Planned and actual costs from comparable completed jobs, with typical ranges, give estimators a grounded starting point for a new offer.
  • Quoted is never mistaken for made. Jobs that were only quoted are marked separately from jobs that were manufactured, and unconfirmed details are flagged.

Included in every solution

Every Multibot solution comes with its own administration portal

The agents do the routine work in the background. The portal is where your team sees every item they handled, reviews the exceptions, approves changes and adjusts settings, with a full history of who did what.

  • Live status of every item, from intake to completion
  • Exceptions queued for your team's review and approval
  • A full history of agent and team actions
  • Users, rules and settings managed by your team

"Have we made something like this before?" meant searching folders and memory

The ERP knew every project, but only by number and client, not by the part that was made

Technologists preparing an offer or a technology for a screw, barrel or system needed to know whether the company had made something similar, how it was made and what it cost. The ERP organised projects by folder, project number and client, so finding a precedent meant browsing network folders or asking colleagues who remembered the job.

The data was also uneven: many projects record the part type and diameter, far fewer record the material grade or the processed plastic. A useful search had to cope with missing values instead of discarding good matches.

  • Projects could be found by number and client, not by technical properties.
  • Finding a precedent depended on browsing folders or on colleagues' memory.
  • Key technical fields were filled in for some projects and missing for others.
  • Pricing a new offer lacked quick evidence from comparable completed jobs.

Automation Flow

How the project assistant finds and uses precedents

The assistant runs several searches over the ERP export, ranks the results together and shows the evidence behind each match.

Capability Stack

What Multibot built for the manufacturer

An internal assistant that reasons over the company's project history like a subject-matter expert, with widgets for results, project cards and cost evidence.

Natural-language and parameter search

Search by component, diameter, ratio, kind of work, treatments, date and evidence level, or start from a reference job.

Combined ranking

Several independent searches are combined with adjustable weights, and constraints relax step by step when there are too few results.

Explained matches

Evidence from the source and an AI match rating show why each project was returned.

Typical routes and route comparison

How often each operation appears in similar jobs, with typical planned hours, plus a side-by-side comparison of two routes.

Cost evidence for pricing

Planned and actual cost ranges from similar completed jobs give estimators a grounded starting point.

Project cards with sources

Each project opens with its parts, operations and attachments, with expandable source sections.

Administration Portal

An administration portal that shows usage, answer quality and data freshness

The manufacturer's team runs the assistant from an administration portal. Its overview answers three questions at a glance: is the assistant being used, are the answers reliable, and is the ERP data current.

The team can open conversations with the widgets they showed, read feedback left by advisers, follow ERP import jobs and quality ratings, and manage users, invitations, roles, passkeys and two-factor sign-in.

  • See whether the assistant is being used.
  • Check answer reliability through feedback and quality ratings.
  • Follow ERP imports and confirm the data is current.
  • Open any conversation with the widgets it showed.
  • Manage users, roles, passkeys and two-factor sign-in.

Outcomes

What the manufacturer got back

Technologists find precedents in minutes instead of hours, every result shows its evidence, and estimators price new work from the real costs of similar jobs.

Reach

More than 10,000 past projects can be searched by technical properties.

Speed

A project found in under a minute

What used to take hours of browsing folders now takes minutes at most, and each search returns in under a second.

Pricing

Offers grounded in real costs

Planned and actual cost ranges from similar jobs inform the price of new work.

Trust

Evidence behind every match

Sources, match ratings and quoted-versus-made labels keep the team in control.
